A Word from the Stronghold

Look, we get it - privacy policies aren't exactly exciting reading. But here at Halvoryn Stronghold, we've been guarding these mountain passes for centuries (well, metaphorically speaking), and we take protecting your personal info just as seriously as our ancestors took defending the fortress.

We've laid it all out in plain language below - no legal jargon that'd make your head spin. If something doesn't make sense or you've got questions, just give us a shout. We're here to help.

When you book a stay with us or reach out for info, we'll need to collect some basics. Nothing too invasive - just what we need to make sure your visit goes smoothly.

  • Contact Details: Your name, email, phone number - y'know, so we can actually reach you about your reservation.
  • Payment Info: Credit card details for booking (we use secure payment processors, don't worry).
  • Stay Preferences: Room type, dietary restrictions, special requests - helps us personalize your experience.
  • Visit History: If you've stayed with us before, we'll keep a record of your previous visits.
  • Website Activity: Cookies and similar tech that help us understand how folks use our site.

We won't ask for anything we don't genuinely need. Promise.

Everything we collect serves a purpose. Here's the breakdown:

  • Managing Reservations: Pretty self-explanatory - we need your info to book your room, confirm your stay, and send you updates.
  • Improving Your Experience: Understanding your preferences helps us make your visit even better next time.
  • Communication: Sending you confirmation emails, special offers (if you've opted in), or important updates about the Stronghold.
  • Processing Payments: Can't run a hotel without handling the financial side of things securely.
  • Legal Compliance: Sometimes we're required by law to keep certain records - boring but necessary.
  • Website Improvements: Analytics help us figure out what's working and what needs tweaking on our site.

We'll never sell your data to third parties or use it for anything sketchy. That's not how we roll.

Security's kinda our thing - it's literally in our name. We take protecting your information seriously and use industry-standard measures to keep everything locked down tight.

  • Encryption: Your payment details and sensitive info are encrypted during transmission - think of it as a digital fortress wall.
  • Secure Servers: We store data on protected servers with firewalls and regular security updates.
  • Limited Access: Only authorized staff members who actually need access to your info can see it.
  • Regular Audits: We routinely check our systems to make sure everything's up to snuff.
  • Staff Training: Our team knows the importance of data privacy and handles your info with care.

No system's 100% foolproof, but we do everything in our power to keep your data safe from unauthorized access, loss, or misuse.

We're not in the business of handing out your personal details willy-nilly. But there are a few situations where we might need to share certain info:

  • Service Providers: Payment processors, booking platforms, email services - trusted partners who help us run things smoothly. They're contractually obligated to protect your data too.
  • Legal Requirements: If law enforcement or government agencies require it, or if we need to comply with legal obligations.
  • Business Transfers: In the unlikely event we sell or merge the business, your info would be part of that transfer (but still protected under this policy).
  • Emergency Situations: If there's a health or safety concern, we may need to share relevant info with appropriate authorities or medical personnel.

We don't sell, rent, or trade your personal information to marketers or other third parties. Period.

Yeah, we use cookies - and not just the chocolate chip kind (though we serve those too). These little bits of code help us understand how visitors interact with our website.

  • Essential Cookies: Necessary for the site to function properly - things like keeping you logged in or remembering your booking details.
  • Analytics Cookies: Help us see which pages are popular, how long folks stick around, that sort of thing. No personal identification involved.
  • Preference Cookies: Remember your settings and choices to make your next visit smoother.
  • Marketing Cookies: If you've opted in, these help us show you relevant content and offers.

You can adjust your browser settings to refuse cookies, but heads up - some features of the site might not work as well. Most browsers let you control cookie preferences pretty easily.

We also use tools like Google Analytics to understand site traffic. These services have their own privacy policies worth checking out if you're interested.

Your data belongs to you. Here's what you can do with it:

  • Access Your Info: Want to know what data we have on you? Just ask and we'll provide it.
  • Correct Mistakes: If something's wrong or outdated, let us know and we'll fix it.
  • Delete Your Data: Request deletion of your personal information (with some legal exceptions).
  • Opt Out of Marketing: Don't want promotional emails? Unsubscribe anytime using the link in our messages.
  • Data Portability: Request a copy of your data in a commonly used format.
  • Restrict Processing: In certain situations, you can ask us to limit how we use your info.

To exercise any of these rights, shoot us an email at reservations@halvorynstronghold.info or call (604) 555-8247. We'll respond within a reasonable timeframe.

If you're in Canada, you've got rights under privacy legislation including the right to file a complaint with the Privacy Commissioner if you think we've mishandled your data.

We don't keep your information forever - that'd be weird and unnecessary. Here's how long we typically hold onto things:

  • Booking & Payment Records: We're required by law to keep financial records for seven years (tax purposes and all that).
  • Guest Preferences: Until you ask us to delete them or if you haven't stayed with us in five years.
  • Marketing Communications: Until you unsubscribe or request removal.
  • Website Analytics: Typically anonymized after 26 months.

Once data's no longer needed, we either delete it or anonymize it so it can't be traced back to you. Simple as that.

Our website and services aren't directed at children under 13. We don't knowingly collect personal information from kids.

If you're booking for a family stay that includes minors, that's totally fine - but the reservation needs to be made by an adult, and we'll only collect info about the adult guests making the booking.

If we discover we've accidentally collected data from a child under 13, we'll delete it ASAP. Parents or guardians who think their kid's info might be in our system should contact us right away.

We're based in Canada, but some of our service providers might be located in other countries. Your information could potentially be transferred to and processed in places outside Canada.

When this happens, we make sure appropriate safeguards are in place to protect your data according to Canadian privacy standards. Different countries have different privacy laws, but we choose our partners carefully and ensure they meet our security requirements.

By using our services, you're acknowledging that your info might be transferred internationally. But rest assured, it's still protected under this privacy policy no matter where it goes.

Things change - new laws get passed, technology evolves, we might add new services. When that happens, we'll update this privacy policy to reflect those changes.

We'll post the updated version here with a new "Last Updated" date at the top. For major changes that significantly affect how we handle your data, we'll make a reasonable effort to notify you - probably via email if we have your contact info.

It's a good idea to check back occasionally and see if anything's changed. Continued use of our services after updates means you're cool with the revised policy.

Questions? We're Here to Help

If anything in this policy seems unclear or you've got concerns about how we handle your data, don't hesitate to reach out. We're happy to chat about it.
